Weave is priced as practice software with a phone system inside it, not as a phone line. That is why the per seat number looks steep next to standard business VoIP. This page lays out list pricing for every plan and seat band, the add-ons and fees that land on the invoice, and where the number actually moves.

Per user per month on an annual contract. The negotiated column is a conservative rounded range, not a guaranteed rate.

Worked example. A 25 seat practice on Core lists at $46 per user, which is $1,150 per month, or $13,800 a year before tax. Negotiated, that lands around $960 to $1,030 per month, so roughly $11,520 to $12,360 a year, saving $1,440 to $2,280 on a single site.

One structural note. The Weave discount curve is flat next to most UCaaS vendors. Going from 10 seats to 100 moves list by about $9 per user, where GoTo Connect or Nextiva cut close to half. Volume alone does not fix a Weave budget.

What the plans include

Core to Pro is $14 per user at the entry band, and that buys the patient engagement half of the platform. If you already pay for a review tool, online forms, and text-to-pay, Pro consolidates them. If not, Core is the honest starting point.

Add-ons that change the bill

The per seat rate is the headline. These lines move the actual invoice, and most are quoted rather than published, so ask for each in writing.

  • Extra phone numbers. The first is included. Additional direct dial numbers are quoted per number per month, and one per site adds up quietly.
  • Toll-free numbers and usage. A monthly number charge plus inbound usage per minute. Model the minutes, not just the number.
  • International calling. Weave is built for domestic practice communication and international capability is limited. Confirm destinations before signing.
  • Call recording retention. Recording is in Core, but retention beyond the included window can be a separate line. Get the period in writing.
  • AI features and transcription. Call summaries, voicemail transcription, and AI assisted messaging keep moving between tiers. Confirm rather than assume.
  • Contact center seats. No true contact center product. No full ACD, no advanced queueing, no workforce management. Needing those means a second platform. See contact center options.
  • E911. Each registered location carries a fee, charged per site rather than per account.
  • Payment processing. Text to pay is also a merchant services relationship, and card rates sit outside the software fee.
  • 10DLC registration. Business texting in the US needs one-time brand and campaign registration before your first reminder sends.
  • Desk phone hardware. Rental is $3 per device per month for a basic Yealink T33G or Poly E100, $5 for a premium T44G or E300, $7 for an executive T54W or E500. Purchase is $100, $150, and $250. See phone hardware pricing.

Do the arithmetic before agreeing to rental. A $100 phone rented at $3 a month pays for itself in 34 months, so anything past three years puts you behind.

Taxes, fees and surcharges

Every advertised VoIP price, including the ones on this page, is quoted before tax. Between the federal Universal Service Fund contribution, a regulatory recovery fee, 911 and e911 charges, and state and local telecom taxes, expect roughly 10 to 20 percent on top. On a 25 seat Core agreement inside the negotiated range, that turns about $960 to $1,030 per month of software into somewhere around $1,060 to $1,240 all in. The spread depends heavily on your state.

The regulatory recovery fee is a vendor line item, not a government tax, and it is occasionally negotiable. Ask for a sample invoice during the sales cycle rather than a quote summary. Contract terms and what drives the price

Weave is an annual contract business. Twelve months is the floor, with 24 and 36 month terms common for multi-location groups. Term length is the biggest lever on rate, more so than seat count, because the volume curve is shallow.

Seat count still matters at the band edges. Moving from 10 seats to 11 crosses a band and takes Core list from $52 to $49. If you sit at 9 or 10 and expect to hire, ask whether the next band rate can apply at signature.

Auto-renewal causes the most trouble. Agreements roll forward unless you give notice inside a window, often 30 to 60 days before expiry, and early termination is generally the remaining contract value.

What gives you no leverage here is threatening to bundle contact center, because there is no CCaaS product to bundle. Leverage comes from multi-location growth, a genuine competitive evaluation, and timing.

Hidden costs and what surprises people

What catches practices out on a Weave agreement.

  • The implementation fee. Covers the practice management integration, porting, provisioning, and training. Quoted separately, forgotten in most budgets, highly negotiable.
  • Seat counting. Weave is licensed per user and practices underestimate. Front desk, hygienists, associates, the office manager, and the owner all need access.
  • Processing economics. At real collection volume the card rate behind text to pay can outweigh the entire software line, and nobody examines it.
  • The tool you did not cancel. Weave only saves money if the products it replaces get switched off. Practices run it alongside their old review platform for a year because nobody owned the cancellation.
  • Growth past the fit. Weave is strongest between roughly 5 and 75 seats. Above 100 the premium gets hard to defend.
  • Renewal drift. The rate you signed is not the rate you renew at. Practices that never revisit the contract pay closest to list three years in.

The honest comparison is not seat against seat. A practice running Zoom Phone at $16 usually also pays for patient texting, a review service, online forms, and a payment link tool. Add those up and the gap narrows sharply, sometimes to nothing. Weave wins on total cost when a practice runs four or five subscriptions, and loses badly when it just needs phones.

How to pay less than list

Five things work, in rough order of how much they are worth.

  • Commit to term. A 36 month agreement gets a materially better rate than 12, and Weave is not a platform practices churn off quickly.
  • Attack the implementation fee. A one-time number with real margin. Halved or waived is a common outcome, and it never touches the recurring rate the rep is measured on.
  • Buy the tier you need, not the tier pitched. Pro is $14 more per user. If review management and digital forms will not get used in the first six months, start on Core.
