RingCentral publishes list prices between $18 and $35 per user per month. What you sign depends on seat count, contract term and who is quoting it. This page has list price for every plan and seat band, the fees that land later, and what a negotiated rate looks like.

Month to month applies a roughly 15 percent premium over annual billing, at the low end among the major UCaaS providers we quote. Zoom Phone, Dialpad, 8x8 and Nextiva all sit closer to 20 percent.

Per user per month, annual agreement, before taxes and fees. Negotiated ranges run from about 6 percent off list on the smallest accounts to about 27 percent off in the 251 to 500 band. At 500 seats and above we quote the rate rather than publish a band.

A worked example at 50 seats

Take 50 people on Core. List is $23 per user, so $1,150 per month or $13,800 a year. Negotiated, the same seats land in the region of $860 to $930 per month, a gap of roughly $2,600 to $3,500 a year. On Advanced, 50 seats list at $28 per user and land closer to $1,070 to $1,150 per month.

What the plans include

The jump from Core to Advanced is $5 per user at list. It buys auto call recording, advanced call handling, native CRM integration and multi site administration. If you run sales on Salesforce or HubSpot, or have more than one location with its own routing, start at Advanced. Otherwise Core is enough.

Add-ons that change the bill

The seat rate is the headline, not the invoice. Price these before you sign.

Toll free numbers. A small monthly charge for the number, plus inbound minutes billed per minute.

Extra numbers. One DID per user is included. Departments, fax lines and vanity numbers bill per number. Porting in is normally free.

International calling. Not included. Either an unlimited bundle per user or per minute by destination, with rates that vary widely by country.

Call recording and storage. Included on Advanced, an add-on on Core. Retention beyond the included window is a separate storage charge.

AI transcription and summaries. Add-ons here, where Dialpad includes them on every plan. That difference can flip a close comparison.

Contact center seats. A separate per agent SKU on NICE CXone, several times the cost of a standard seat.

E911 and 10DLC. E911 is a small mandatory per seat charge. Business SMS needs 10DLC registration, a one time fee plus a small recurring charge.

Desk phones. Rental is $3 per device per month for a basic Yealink T33G or Poly E100, $5 for a premium T44G or E300, and $7 for an executive T54W or E500. Buying outright costs $100, $150 and $250. Rental covers replacement, buying wins by year three. See the VoIP phone hardware guide.

Taxes, fees and surcharges

Every advertised price in this category is quoted before tax. Budget another 10 to 20 percent for the federal Universal Service Fund contribution, a carrier regulatory recovery fee, 911 surcharges, and state and local telecom tax.

Fifty Core seats in the 20 to 26 percent band come to about $860 to $930 per month, and closer to $950 to $1,120 once fees land, so make sure competing quotes are on the same basis. Contract terms and what drives the price

Four things set your rate, and only one is the plan.

Billing term. Annual is the default and month to month costs about 15 percent more. Two and three year terms buy more, worth taking if headcount is stable.

Seat count. The rate card steps at 6, 11, 25, 51, 101, 251 and 500 seats. At 23 users, licensing 25 can cost less. Ask for the next band before you sign.

Product mix. Bundling contact center with UCaaS gives more leverage than either alone, as does standardising on one tier.

Auto renewal and exit. Agreements renew unless you give notice, usually 30 to 60 days out, and early exit means paying the remaining term. Negotiate a cap and seat reduction rights up front.

Hidden costs and what surprises people

Seats you stopped using. The most common one. People leave, the license does not, and most agreements let you reduce seats only at renewal. Audit active users quarterly.

Faster support is a paid tier. Standard support is where most complaints start. Fold priority response into the original deal.

Professional services. Simple deployments are usually free. Complex IVR trees, multi site routing and CRM work carry a services line. Get the scope in writing.

Administration time. Not a line item but a real cost. The admin portal takes effort to learn and related settings live in different sections.

No free trial. There is no low commitment way to test RingCentral. Build in a paid pilot.

Renewal creep. Promotional first term pricing rolls off quietly. Diary the renewal date 90 days ahead.

Entry price is the published rate at the smallest seat band. Every provider here discounts at 50 seats and up, so the ordering changes on larger deals. Zoom Phone holds close to a flat rate at every size, cheapest small and least negotiable at scale.

RingCentral is not trying to be cheapest. It is the platform you buy for deep contact center capability, a long integration list and coverage across many countries. If you do not need those, you are paying for headroom.

How to pay less than list

Nobody with negotiating help pays rate card. What works:

Quote two alternatives in parallel. As a real evaluation, not a bluff. Pricing moves when there is a credible second option.

Commit to a term. Annual over monthly is worth about 15 percent immediately, and multi year buys more.

Check the seat threshold. Within a few users of the next band, price both.

Bundle contact center. One agreement covering UCaaS and CCaaS beats buying them separately.

Cap the renewal now. Put the increase limit in writing while you still have leverage.
