A worked example. Fifty seats on Unite Essentials sits in the 25 to 50 band, so list is $20 per user per month. That is $1,000 a month, or $12,000 a year, before taxes and hardware. At the negotiated rate we see at that size, the same 50 seats land around $740 to $800 a month, roughly $8,880 to $9,600 a year. Same plan, same features, same platform.
The gap widens past 50 seats, and unevenly. Essentials is the tier net2phone defends hardest against Zoom Phone and GoTo Connect, so there is more room in it. If you have been told the discount is a flat percentage across the account, question it.

Two things stand out. Call recording is included on the entry plan, where RingCentral makes you buy up to Advanced. And the uptime commitment is 99.9 percent, not the 99.999 percent the other majors publish, which is about nine hours of allowed downtime a year against five minutes.

Our view: hardware is where quotes get padded most often. Count who genuinely needs a desk phone. Usually the front desk, the conference rooms and anyone on the phone all day. Everyone else lives in the app.

The stack is federal USF, a regulatory recovery fee set by the provider rather than by any government, 911 fees per seat, and state and local telecom taxes that depend on where your users sit. Seats concentrated in one low tax state land at the bottom of that range, seats spread across high tax jurisdictions at the top.

Term length. Month-to-month costs about 15 percent more than annual, and a two or three year term buys further movement. Signing three years to save a few dollars a seat is a bad trade if you have not tested the platform properly.
Seat count. The published ladder steps at 6, 11, 25, 51, 101, 251 and 500 seats. At 48 seats and growing, the difference between signing at 48 and at 51 is a full band. Ask to be priced at the band you will be in mid term.
Auto renewal. Most UCaaS agreements renew automatically, often at a higher rate. Get the renewal rate written into the original agreement. Fixing only the first term rate defers the fight to a moment when you have no leverage.
Bundling. Agent licenses carry far more margin than standard seats, so adding contact center changes the whole negotiation. Buy both together. Phone system first and contact center six months later is the most expensive order.
Entry list price is the fairest single comparison, since every provider publishes it.
